MCI Benelux is looking for an enthusiastic Event Coordinator to join our team.
He/she will work closely with Event Managers and other Event Coordinators.
PROJECT MANAGEMENT
Manage project/events from A to Z (design, plan, organise, deliver and measure) by effectively creating and executing against project timelines based on priorities, resource availability, and other project requirements (i.e., budget, event management tools,..).
ABILITY TO
INTERNAL:
Support the on-time delivery of congresses and conferences
Advocate a high level of service attitude and professionalism, which includes Industry knowledge and understanding
Determine timelines and critical dates and relation action items
Manage a dedicated part of a project, or a basic project (e. g.: hotel, registration, sponsoring, exhibition, abstract, etc.)
Manage oneself and his/her Project Management responsibilities without constant intervention from a Manager (Conscientiousness)
Participate to the setting of long-term objectives linked to slow project life cycle (time management, priority management)
Prioritise tasks and projects
Provide relevant, accurate and regular all-round reporting (360 degree project vision) to different stakeholders
Source project-related third-party suppliers appropriately and effectively, in line with MCI’s Procurement guidelines
Systematically contribute to the development, implementation and maintenance of cutting-edge SOPs (Standard Operating Procedures)
Ensure operational excellence and be 'Quality Obsessive'
FINANCE
Apply MCI's financial processes; prepare, justify and administer the project/event budget; oversee sourcing and contracting to achieve desired results; monitor expenditures, cash flow, maximise GM (Gross Margin) and use cost/benefit thinking to set priorities.
ABILITY TO
Respect set budget frame and defined deadlines
Manage the day-to-day financial controlling of the operations
ADMIN, IT & TOOLS
Complete procedures, documents, forms, reports that are essential to the day-to-day operations of project/ events. Master the systematic use of MCI & other available templates, tools & IT systems
ABILITY TO
Demonstrate effective usage of available software features (e.g.: Aventri, b-Com, Cvent, EventsAir etc.)
Effectively use all job related tools and systems, computer hardware/software
Recognise and recommend system enhancements as a result of user experience
REQUIRED EXPERIENCE, SKILLS & ABILITIES
· Eligible to work in the EU
· Minimum of two years’ experience in a similar function or relevant industry
· A degree in Event Management, Hotel Management or Tourism is a major advantage
· Excellent English verbal and written communication skills; additional European languages are considered a plus
· Great customer service with a positive attitude
· Detail-oriented mindset and accuracy skills;
· Problem solving skills
· Time management skills and flexibility
· Proficient in the Microsoft Office package, especially in Microsoft Excel
· Resourcefulness to adapt in a fast-paced environment;
· Ability to travel all around the world
